How does Photoflow work?

MOBILE APP

PhotoFlow is a system designed to record and process photos in freight forwarding processes. The application is used for transport and shipping documentation, which is uploaded to the cloud and then presented in MS Excel.

Use of the app is possible on mobile devices running Android versions 6.0 and up. To activate the solution, download the app from the Google Play store and log in with the user key assigned by InviNets. Once logged in, you can start using the customized application. The MAPS Scanner application can work offline. The system provides reliability in recording transport and shipping documentation and preserving images in case the smartphone battery dies or the user inadvertently logs out.
The application allows you to enter an order number, take photos of goods in the process of loading and unloading such as containers. Photos are recorded during the loading and unloading of goods from the container and associated with the corresponding order number, which is part of the transport and shipping documentation.

In PhotoFlow, documentation of the process of loading and unloading goods from a container is accomplished through a series of photos taken by employees. After entering the order number and taking a picture of the container identification number, the employee documents the loading steps, including the formation of the cargo in the container. Once the loading is complete, they re-enter the order number, take a photo of the container marking and photograph the seal, securing the cargo.

Registration of the unloading order in PhotoFlow is done in the same way, but in reverse order. The employee begins by entering the order number, and then takes photos identifying the container by its number and documenting the condition of the seal.

Further, after re-entering the order number, the employee takes a series of photos to illustrate the unloading process, i.e. unforming the cargo from the container.

REPORT IN MS EXCEL

The recorded data can be downloaded from the MAPS cloud to MS-Excel. To do this, log in to the portal(link) and enter the user key. Then select a date range and download the data to an Excel file by selecting (Generate).

In the MS-Excel sheet (report), generated from the MAPS cloud, there are links to images in columns F, G, H in the table. Each order will have a separate two lines (loading or unloading and sealing), which will be linked on the timeline to the employee, container number and photos taken. The order number is an alphanumeric string. A sample report is shown below in the table.

When you click on Open in an Excel report (column F and G), the photo(s) will be displayed. When you click on the Download photos cell (column H),the photos of the order will be downloaded in a ZIP file.

Filtering orders (claims handling)

In order to reach the photo documentation of a particular order:

  • In the in MAPS portal, an employee selects the day or month with the job number and imports the data into Excel
  • In Excel, using the filter function, the employee finds the order number and saves a packed file from column H to the disc. This file has the order number in its name.
  • The employee then prepares an email and attaches a file with photos. The situation is analogous in the case of de-formation.
